Privacy Policy
This policy explains what personal information Arkmetry handles, why it is needed, who it may be shared with, and how to ask questions or make a privacy request.
Effective: 10 August 2026
1. Who this policy covers
Arkmetry is the name of this construction-document service. This policy applies to the hosted Arkmetry website, accounts, workspaces, support and related service operations. The service operator can be contacted at support@arkmetry.com.
A customer organisation may separately control the personal information it places in a workspace. Ask that organisation about its own privacy obligations and instructions.
2. Information Arkmetry handles
- Account information: name, email address, password hash, email-confirmation status, workspace membership, roles and permissions.
- Customer content: uploaded documents and images, extracted text and facts, project records, comments, prompts, assistant conversations, generated output and document references. Construction documents may themselves contain personal information.
- Service and security data: IP address and request metadata, session and security events, audit history, feature usage, storage totals, AI usage and cost measurements, and error information.
- Support information: messages, attachments and other details you provide when requesting help.
Arkmetry collects this information from you, from workspace owners or administrators who invite or manage you, from content submitted to the service, and automatically when the service receives a request.
3. Why the information is used
- create and secure accounts, sessions, workspaces and access controls;
- store, read, search, compare, preview and recover customer documents;
- provide assistant, extraction and other AI-supported features;
- measure and enforce storage, upload, request and cost limits;
- prevent abuse, investigate faults, keep audit records and protect tenants from one another;
- respond to support and privacy requests; and
- meet legal obligations and establish, exercise or defend legal claims.
4. AI processing
When an AI-supported feature runs, relevant prompts, extracted passages, document context and instructions may be sent through Arkmetry's server-side gateway to the cloud AI provider configured for the service. Provider credentials stay on the server. Do not submit personal or confidential information unless you are authorised to have it processed this way. Ask support@arkmetry.com for the current provider and processing-location information.
5. Cookies and browser storage
Hosted Arkmetry uses essential session and security cookies, including a session cookie and a CSRF-protection cookie. If you choose “Keep me signed in”, the session can last longer on that device. Browser storage is also used for local preferences, app state and a returning-user hint. Blocking essential storage may prevent sign-in or parts of the service from working.
6. When information is disclosed
Arkmetry may disclose information:
- to authorised users and administrators of the relevant workspace;
- to providers that host infrastructure, store data and backups, deliver email, convert documents, or process cloud AI requests for Arkmetry;
- when you direct or authorise the disclosure;
- when required by law or reasonably necessary to protect people, rights, accounts or the service; or
- as part of a genuine business reorganisation or transfer, subject to appropriate confidentiality and legal safeguards.
Service providers may process information outside your country, including outside Australia. The countries and regions depend on the infrastructure, email, storage and AI providers configured at the time. Contact us for the current provider and location list before submitting information that is restricted to a particular country or region.
7. Retention and deletion
Account and customer content is generally kept while the relevant account or workspace remains active and as needed to provide the service. Security and audit records are kept for an operational retention period. Some data may remain longer where needed for backups, recovery, security, legal obligations or disputes. Backup copies age out on their backup schedule and may not disappear immediately after a live record is deleted.
Workspace owners may control project content. For an account, access, correction or deletion request, email support@arkmetry.com. We may need to verify your identity and authority before acting.
8. Security
Arkmetry uses role and tenant access controls, protected sessions, transport security, operational logging, backups and recovery controls. No online system can promise absolute security. Tell us promptly if you believe an account or workspace has been compromised.
9. Access, correction and complaints
You may ask to access or correct personal information about you, or make a privacy complaint, by emailing support@arkmetry.com. Include enough detail for us to identify the account, information or event. We will acknowledge and assess the request, may ask for identity or authority evidence, and will respond within a reasonable period or any shorter period required by applicable law. If you are not satisfied, you may have the right to contact the privacy regulator in your jurisdiction.
10. Children
Arkmetry is a business service and is not directed to children. Do not create an account or submit a child's personal information unless this is authorised and appropriate for the work being performed.
11. Changes to this policy
We may update this policy when the service or its providers change. The current version will show its effective date. We will give reasonable notice in the service or by email when a change materially affects how personal information is handled.
